DIMENSIONS OF THE SERVICE

  • Assist in the mobilization and administration of Technical Assistance Service personnel both expatriates and Nigerians, over the course of the project

ACTIVITIES
Assist the Human Resources Manager in all activities in connection with the administration of Technical Assistance personnel assigned onto
the Project. More specifically:
•     Initiate RTASF and Waiver (if any) ;Send approved RTASF + Service Description to TAS-C&P
•     Follow-up the CVs with TAS-C&P
•     Prepare the Matrix with CV details
•     Short-list CVs
•     Send short-listed CVs to managers + Follow-up feedback
•     Arrange interviews with Service Providers as required
•     Participate in interviews occasionally
•     Prepare results matrixes, and upload the files on the Exchange folder for technical review by Team/Package Managers.
•     Collect the interview assessment feedback forms and send to TAS-C&P
•     Prepare Mobilization Form
•     Issue the mobilization advice
•    Implement procedure for mobilization and demobilization of personnel on sites (including but not limited to Inductions, IT related issues, IGG& ID badge, welcome document package, Mission Orders, accommodation booking, Meet & Greet booking etc)
•     Welcome the new TAS personnel (meet & greet, logistics arrangement)
•     Inform Security for security briefing (for expat only)
•     Ask the new comer to fill in DW Admin form & forward to DW HR Admin (for expat only)
•     Answer all questions related to their expatriation: housing, school, etc. (for expat only)
•     Weekly Update / Follow-up TBA list
•     Issue relevant updates/reports on TAS contracts as and when required.
•     Issue periodical communication to Project Team members.
•     Prepare the Demobilization Form
•     Issue the demobilization advice
•     Create and maintain a record of all relevant TAS documents by(Scan, file and archive)
•     Administer the E-learning on prevention of Corruption, Update schedule and send to Compliance Officer
•     Organize Induction sessions for all new comers on the Client;s Project with Package Managers

ACCOUNTABILITIES
•    Co-ordinate all actions for the smooth mobilization and administration of TA personnel in accordance with Company and Project procedures
•     Ensure all the documentation and materials are properly tracked and adequately filed.

NECESSARY PROFILE

  • A minimum of 5 years relevant experience in procurement and/or administrative roles
  • Strong command of Word, Excel, SAP, Outlook
  • High sense of confidentiality
  • Fluent in English (some French an advantage).
