Job Purpose:

To provide an efficient and responsive administrative, organizational and logistical service to

the Managing Director, helping him to manage and prioritize his time. To provide management timelines

for projects assigned by the MD. Responsible for assisting other heads of department with administrative

tasks and projects when they correspond with the Managing Director’s requirements. Responsible for

management and board meeting preparation and reports. The executive assistant is also responsible for

basic office management duties including organizing and ordering office supplies.

 

 

Responsibilities:

· Manage and maintain the MD’s diary and project management schedules

· Ensure business and personal commitments, papers, and travel arrangements are managed

effectively including producing a daily folder with diary, necessary papers etc and troubleshooting

problems

· Conduct daily scheduling meetings with the MD to discuss upcoming engagements, invitations and

other requests

· Schedule on behalf of the MD meetings between him and his direct Reporters

· Coordinate travel and accommodation requirements for the MD

· Coordinate travel and accommodation requirements for employees attending company sponsored

conferences, seminars and trainings when directed by the MD

· Coordinate scheduled meetings, disseminating documents, coordinating the ordering and delivery

of meals (where necessary), meeting set-up and clean-up

· Filter general information, queries, phone calls and invitations to the MD by redirecting or taking

forward such contacts as appropriate

· Keep and maintain an accurate record of papers and electronic correspondence on behalf of the

MD

· Ensure that guests meeting with the MD are well taken care of

· Work with the Director of Flight Operations on the AOC application

· Assist the Head of Business Intelligence on all projects involving  the organisation

  Perform related and other duties as required.

- Intermediate level in the use of Word, Excel and PowerPoint, Projects

· Ability to establish and maintain working relationships with co-workers, the public, other

departments and agencies

· Good team working skills

· Ability to follow written instructions

· Ability to perform in a calm and level-headed manner in all situations

· Demonstrates drive, enthusiasm, self-motivation and cooperative attitude

· Ability to work on own initiative and take responsibility as required

· Willingness to adjust to accommodate after-hours and/or weekend programs and events

· Ability to think ahead and anticipate the needs of the MD and other senior staff

Qualifications and Experience:

· Bachelor’s degree in related field

· Satisfactory work experience as an Executive Assistant or similar role
