Finance and Admin Officer


Job Description:

  • Be responsible for financial record keeping and administration - Ensure that all finances are properly administered and monitored.
  • Prepare monthly financial reports for the CEO, on income, expenditure, and any variations from budgets. Be prepared to provide this information as and when needed.
  • Be responsible for tracking petty cash, keeping appropriate records, and maintaining reconciliations.
  • Maintain bank records, perform bank reconciliations, and deal with the bank on all financial matters.
  • Ensure that the payroll company manages payroll and provide any necessary information for them to do so
  • Set up and maintain accounting system (software to be determined); modify and update accounting system as required.
  • Accounts payable – process cheque requisitions and expense reports; reconcile accounts; file invoices, cheque and expense reports to properly maintain an orderly and accurate filing system; enter financial data
  • Accounts receivable – process invoices; track A/R and contact outstanding accounts for payment; prepare expense reports and obtain receipts from credit cardholders
  • assist auditor at year-end audit
  • other organizational information that has a financial impact

  • Be responsible for carrying out, and helping develop where necessary, administrative systems such as records management.
  • Be responsible for updating master contact databases.
  • Act as initial respondent to all phone calls regarding enquiries about the company and her products.
  • Organise orientation training and induction for new staff.
  • Organise team meetings, circulate agendas and take and circulate minutes.
  • Manage storage of items in the company premises.
  • Responsible for the newsletter - with content input from other staff.
  • Perform general administrative duties; postage, opening post, responding to emails, ordering stationery, maintenance of equipment, etc. as required.
  • Be prepared to undertake relevant training to improve competence and confidence in performance of role.
  • Answer general telephone or email inquiries when applicable and refer calls to the appropriate staff.
  • Process all incoming and outgoing mail; includes proofreading all outgoing mail and logging of courier services.
  • Type correspondence, other documents and prepare them for signature.
  • Maintain a functional filing system
  • Control office supplies, saleable technical materials, publications inventories etc.

Requirement

  • Qualification: (OND)
  • Experience: 2-3years
