MANAGER – OCEAN FREIGHT
Reports to: Regional Manager
Overall Objective: Managing & Leading Sea Freight Dept.
SCOPE

• Managing the day to day functioning of sea freight dept.
• Responsible for delegating and monitoring of all the staff in sea freight dept.
• Updating Branch Management of the day to day functioning of the dept.
• Meeting customer needs and providing best quality services.
• Ensuring the complete usage of EDI Enterprise.
• Build carrier relationship.
• Team building and development.
• Rate negotiations, cost control and increasing profitability.
• Responsible for achieving and exceeding department budgets.
• Problem solving and providing solutions.
• Keep close contact with carrier group updating the current rate and shipping line information.
• Any other task assigned by the management.

DETAILED DESCRIPTION

Key activities


and bookings are registered in a timely manner and the intimation is given to customer or overseas officer.
Ensure updating the shipment status to customers and overseas offices.
Identifying and selecting the shipping lines considering the best rates and services.
Checking the invoice before being sent to customers or overseas.
Following up on outstanding.
Approving the invoices of suppliers and outsource agencies for cost posting.
Checking and signing the profit share received from overseas for its accuracy.

Generating shipment profile report to monitor the completion data, entry and accuracy.
Checking CM1 report to monitor the revenue, Cost, Profit, Margin % and to check if any abnormal profit is registered.


Customer Retention

Ensuring the operations to provide the quality service to retain both local sold customers and nominated accounts.
Talking to customers frequently to check their satisfactory level using our services.
Visiting existing customers and nominated customers to approach for free hand business.
Liaising with Sales Team to provide market / Industry information, rate updates and providing sales leads.


Carrier Relationship

Visiting shipping lines to develop strong relationship.
 Negotiating the best possible rates from non-contractual carriers.
 Ensuring the best effort to obtain space and committed delivery during peak season.
 Obtaining market rates among other shipping lines, forwarders etc from known carriers.


People Management


Developing good quality skills among staff to provide professional services.
Training staff members to handle the customers very professionally.
Delegating equal amount of work to the responsible person in the department.
Conducting weekly department meetings to discuss problems of every staff, their development needs and the requirement to deliver the performance.
Fixing KPIs to every staff in the department and monitoring the performance level.
Making long term career development plan for every staff.
Identifying the area of development of staff for their improvements in daily life.

• Should have experience in Freight Forwarding Industry.
• Should be capable to manage and develop a team.

 

Must be a graduate with good communication skills with high competency in computer knowledge.

• Should be able to take ownership of department, people, development, achieving and exceeding the budget.

• Taking on the challenge, be dedicated and committed to work and working honestly for the companies benefit.

Communication: -
Good in oral and written communication. Should be able to communicate politely, more professionally with clear contents of words for the listener and to understand and accept.
Planning & Organising:-
Defining clear objectives and making an action plan to achieve and exceed the targets set in the committed time.
Problem Solving:-
Any problem in the department related to customers, staffs or third party should be handled and solved effectively protecting the interests of the company.
Decision Making:-
Making quick and right decision within the functional and responsible areas without having financial implications on the company or the people.

Expected years of experience

Minimum 7 years of freight forwarding experience with back ground of handling LCL, FCL operations, CFS handling, customs operations and Customer Service.

Educational Qualifications

Graduate (in any discipline) from reputed university / College.
Qualified in computer diploma or certificate from any institutes are preferred.
