Job description

The responsibilities for this role include:

  • Devising and maintaining office systems, including data management and filing
  • Arranging travel, visas and accommodation and occasionally, traveling with the line manager to take notes or dictaion at meetings and to provide general assistance at presentations
  • Screening of all incoming calls, enquiries and requests, and handling as as when appropriate
  • Meeting and greeting visitors at all level of seniority
  • Organizing and maintaining line manager's diary and appointments
  • Dealing with incoming emails, faxes and post, often corresponding on behalf of line manager
  • Taking minutes and dictation
  • Carrying out background research and presentation of findings
  • Producing documents, briefing papers, reports and presentations
  • Organizing and ensuring line manger is well prepared and punctual for meetings
  • Liasing with clients, suppliers and other staff


The requirements for the role include:

  • A good first degree in administration or management
  • Minimum of 5 years experience in similar role, with experience working with expatriates an added advantage
  • Exceptional written and oral communication skills
  • Excellent word processing and IT skills, including knowledge of range of Microsoft Office packages
  • Ability to work under pressure and to tight deadlines
  • Good organizational and time management skills
  • Honesty, reliability and attention to detail
  • Flexibility and adaptability to juggle a range of different tasks and willingness to work extra hours to meet deadlines
  • Discretion and good understanding of confidentiality issues.
  • Ability to research, digest, analyze and present material clearly and concisely
  • Excellent interpersonal skills
